Information you provide
The general Contact form asks for your name, email address, subject and message. Organisation is optional. Both enquiry forms include a broad category for the page or site immediately before the form, when the browser supplies that information. This category is sent with your enquiry to help us understand which routes lead to enquiries. It is browser-reported and may be missing or inaccurate. The enquiry-source field excludes full referring URLs, query strings and campaign text; it uses no cookies or visitor identifiers.
The Architecture Assessment asks for your name, work email, primary operational problem and desired outcome. You may also provide your role, organisation, website, country or market, AI or automation stage, affected workflows or systems, timeframe and relevant constraints.
Please do not submit passwords, confidential documents, sensitive regulated information or information that the form does not request.
Technical information processed automatically
When you use the website, hosting and security systems process technical request information such as IP address, browser or device information, requested URLs, timestamps and security signals. The accepted Website-v1 launch configuration is designed to retain Cloudflare security and operational browser telemetry while suppressing intentional marketing or behavioural analytics, unnecessary WooCommerce attribution or cart storage, and unnecessary external Google Fonts requests on governed pages. This launch configuration remains subject to production release verification.
Why information is used
Information you provide is used to review and respond to enquiries, assess whether netlinkE may be an appropriate fit for an Architecture Assessment or other conversation, understand enquiry sources, operate and secure the website, maintain necessary business records, and meet obligations that apply to us. Website-v1 form information is not used for unrelated marketing without an appropriate basis for doing so.
Submitting a form does not create a client engagement or guarantee a response or commercial outcome.
How information is handled and shared
Form submissions are sent by email to a controlled netlinkE mailbox. The accepted Website-v1 configuration is designed to retain SMTP routing and minimal delivery metadata while suppressing WP Mail SMTP message-body and attachment logging and open and click tracking. Mailbox copies, historical logs and database backups may still contain enquiry content. This launch configuration remains subject to production release verification. No CRM is used in the Website-v1 form path.
netlinkE uses service providers to operate website hosting, email delivery, security and related infrastructure. These providers may process information insofar as their services are involved in operating the website or handling an enquiry. The provider mix may change as the website and its infrastructure evolve.
Retention
Non-client Contact enquiries are retained for 12 months after the last substantive interaction. Architecture Assessment enquiries that do not progress to engagement are retained for 12 months after the last substantive interaction.
Records that become part of a client engagement follow the applicable engagement, accounting, tax, legal and contractual retention requirements instead. Operational and security logs are retained only for the shortest purpose-appropriate period supported by the actual provider or infrastructure configuration. Backups follow the separately governed backup-retention policy.
Historical WP Mail SMTP and legacy-form records are not deleted as part of the Website-v1 legal publication. Their cleanup or disposition requires a separate technical operation.
Security
The forms use HTTPS, request-verification tokens, server-side validation, sanitisation and honeypots. Access and operational safeguards are used proportionately, but no internet service can guarantee absolute security.
International processing
netlinkE may use service providers whose infrastructure operates in more than one country. This includes hosting, email and Cloudflare infrastructure. The location in which information is processed may therefore differ from the location of the visitor. netlinkE reviews material service-provider and data-handling arrangements as its systems change.
Your choices and rights
Depending on the laws that apply to you and to netlinkE, you may have rights relating to personal information, including requesting access, correction or deletion.
